Working with Projects
Projects group related jobs together for better organization. Use projects for large customers with multiple service visits or ongoing work.
What Are Projects?
Projects help you:
- Group related jobs
- Track work for large customers
- Organize multi-phase work
- See all jobs for a project
- Assign cylinders to projects
Creating a Project
Navigate to Projects
- Click Projects in the left sidebar
- Click Create Project button
Enter Project Information
Project Name (Required):
- Clear, descriptive name
- Example: "Downtown Office HVAC Upgrade"
- Example: "Smith Building Maintenance 2025"
Description (Optional):
- Project scope and objectives
- Work to be performed
- Any special requirements
Status:
- Active - Currently working
- On Hold - Paused temporarily
- Completed - All work finished
- Cancelled - Project cancelled
Customer (Optional):
- Link project to specific customer
- Helps organize customer work
Start Date (Optional):
- When project begins
- Helps with planning
End Date (Optional):
- Expected completion date
- Track deadlines
Save the Project
Click Create Project to finish.
Assigning Jobs to Projects
From Job Detail Page
- Open the job
- Click the project dropdown at the top
- Select project from list
- Job is added to project
Assigning Cylinders to Projects
From Cylinder Detail Page
- Open the cylinder
- Click the project dropdown at the top
- Select project from list
- Cylinder is linked to project
This helps track which cylinders are dedicated to a project.
Viewing Project Details
Project Information Shows
- Project name and description
- Status
- Customer
- Start and end dates
- All jobs in the project
- Assigned cylinders
Jobs in Project
See all related jobs:
- Job status
- Service type
- Dates
- Equipment involved
Editing Projects
- Go to Projects
- Click on the project
- Click Edit Project
- Update information
- Click Save Changes
Project Status Management
Status Types
ACTIVE:
- Work is ongoing
- Default for new projects
- Jobs in progress
ON_HOLD:
- Temporarily paused
- Waiting for customer
- Waiting for parts or permits
COMPLETED:
- All work finished
- Jobs are done
- Project closed
CANCELLED:
- Project was cancelled
- Work not completed
- Customer cancelled or changed plans
Updating Status
Change status when:
- Work begins (ACTIVE)
- Project pauses (ON_HOLD)
- All jobs complete (COMPLETED)
- Customer cancels (CANCELLED)
Common Questions
Q: When should I use a project vs. just jobs?
A: Use projects when you have multiple related jobs for the same customer or location. Single service calls don't need projects.
Q: Can a job belong to multiple projects?
A: No, each job can only belong to one project.
Q: Can I move a job from one project to another?
A: Yes, edit the job and change the assigned project.
Q: What happens to jobs if I delete a project?
A: Jobs remain but are no longer linked to a project. They're not deleted.
Q: Can projects have different customers?
A: Projects are typically for one customer, but you can leave customer blank and add jobs from different customers.
