Job Appointments and Scheduling
Appointments schedule when work will be performed. Each appointment includes a date, time, duration, and assigned technicians.
Creating an Appointment
From Job Detail Page
- Open the job you want to schedule
- Click on the Job Menu (three dots)
- Select Make Appointment
Appointment Details
Date and Time
Date:
- When the work will be performed
- Uses date picker
Time:
- Start time for the appointment
- Example: 9:00 AM
Duration
Set how long the job will take:
- Measured in hours
- Default: 2 hours
- Examples: 1 hour, 4 hours, 8 hours
Assign Technicians
Select Technicians:
- Choose one or more technicians
- Shows all users in your organization
- Technicians receive appointment notification
Multiple Technicians:
- Assign multiple people to same appointment
- Useful for large jobs
- Team coordination
Add a note
- Add an appointment note for the technician to see
- Useful for site contact, access, etc.
Viewing Appointments
On Job Detail Page
See all appointments for a job:
- Scheduled date and time
- Assigned technicians
- Duration
- Any notes
Job Status Changes
Automatic Status Updates
When you create an appointment:
- Job status changes from PENDING to SCHEDULED
- Indicates work is planned
When work begins:
- Update job status to IN_PROGRESS
- Shows active work
Common Questions
Q: Can a job have multiple appointments?
A: Yes, create multiple appointments for different dates or follow-up visits.
Q: Can I assign multiple technicians to one appointment?
A: Yes, select multiple technicians when creating the appointment.
Q: What happens if I cancel an appointment?
A: The appointment is removed, but the job remains. Create a new appointment to reschedule.
Q: Can technicians see their appointments?
A: Yes, technicians can view jobs assigned to them on their homepage.
Next Steps
After scheduling appointments:
- Start Work: Update job status to IN_PROGRESS
- Record Work: Document what was done
- Complete Job: Mark job as COMPLETED when finished
