Getting Started with RefriTrak

Welcome to RefriTrak! This guide will help you get started with tracking your refrigerant inventory and staying EPA compliant.

What is RefriTrak?

RefriTrak is a comprehensive refrigerant management system designed for HVAC professionals. It helps you do things like:

  • Track refrigerant transfers and inventory
  • Monitor EPA compliance thresholds
  • Manage customer equipment and units
  • Generate compliance reports
  • Schedule jobs and appointments
  • And much more...

Setting Up Your Account

After registering, you'll need to complete a few basic setup steps:

  1. Add Your Organization Details - Enter your company name, contact information, and EPA threshold settings
  2. Create Customer Records - Add your customers and their locations
  3. Register Equipment - Add units and circuits, or cylinders, to track refrigerant usage
  4. Record Your First Transfer - Start tracking refrigerant movements

Adding Your First Customer

To add a customer:

  1. Navigate to Customers from the main menu
  2. Click Add Customer
  3. Fill in the customer details:
    • Name
    • Contact information
    • Location (uses Google Places for accuracy)
  4. Click Save

Creating Equipment Records

Once you have customers, you can add their equipment:

  1. Go to the customer's detail page
  2. Click Add Unit
  3. Enter unit details:
    • Unit type (e.g., RTU, Chiller, Walk-in Cooler)
    • Serial number
    • EPA appliance type
  4. Add circuits with refrigerant type and capacity
  5. Save the unit

Recording Transfers

RefriTrak tracks all refrigerant movements. Common transfer types:

  • INITIAL - Initial charge when creating a new circuit
  • CYL_TO_CIRCUIT - Charging/adding refrigerant to equipment
  • CIRCUIT_TO_CYL - Recovering refrigerant from equipment
  • PURCHASE - Buying new refrigerant
  • RECLAMATION - Sending refrigerant for reclamation

To record a transfer:

  1. Navigate to Transfers
  2. Click Add Transfer
  3. Select the transfer type
  4. Choose the source and destination
  5. Enter the amount
  6. Add any notes
  7. Save

Understanding EPA Compliance

RefriTrak automatically calculates leak rates and monitors EPA thresholds. If a unit exceeds its threshold, you'll be notified and can:

  • Review the leak history
  • Schedule leak repairs
  • Document verification tests
  • Generate compliance reports
