As your equipment database grows, quickly finding specific units becomes essential. RefriTrak provides search functionality to help you locate equipment efficiently.
Quick Search
Using the Search Bar
The search bar at the top of the Units page searches across multiple equipment fields:
Searchable Fields:
- Equipment make
- Model number
- Serial number
- Customer name
- Location address
How to Search:
- Navigate to Units in the sidebar
- Type in the search bar at the top of the page
- Results update automatically as you type
- Click on a unit to view full details
Search Strategies
Search by Equipment Details
By Manufacturer:
- Type "Carrier" to find all Carrier units
- Type "Trane" to find all Trane equipment
- Partial matches work: "Car" finds "Carrier"
By Model Number:
- Enter full or partial model number
- Example: "38AUD" finds model 38AUD036300
- Useful when you have model info but not location
By Serial Number:
- Type serial number to find specific unit
- Most accurate way to identify exact equipment
- Example: Search "1234ABC" to find unit with that serial
Search by Customer or Location
By Customer Name:
- Type customer or business name
- Example: "ABC Grocery" finds all ABC Grocery equipment
- Shows all units for that customer across all locations
By Location Name:
- Example: "Big Bob" with find "Big Bob's Lumber"
Best Practices
Keep Equipment Data Complete
For better searchability:
- Always enter serial numbers
- Include make and model when available
- Assign equipment to customers
- Add equipment to locations
Consistent Data Entry
Standardize Formats:
- Use consistent manufacturer names (Carrier vs. CARRIER)
- Enter serial numbers without dashes or spaces if possible
- Use official model numbers from nameplates
Regular Database Maintenance
Quarterly Review:
- Search for equipment with missing data
- Update incomplete records
- Verify customer and location assignments
- Check for duplicate entries
Common Questions
Q: Can I export search results?
A: The data export feature exports all units, not just search results. Apply your search, then export from the Units page.
Q: Why doesn't my search find a unit I know exists?
A: Common reasons:
- Typo in search or in the stored data
- Searching for info that may exist in a note but not the unit
Q: Can I save searches?
A: No, searches are not saved. You need to re-enter search terms each time.
Q: Can I search across multiple organizations?
A: No, search is currently limited to the currently selected organization. Switch organizations using the org switcher if you have access to multiple.
